Withdrawal and Cancellation Policy
This policy sets out the rights and obligations of students and Crownhill International College (C.I.C.) in relation to the withdrawal from, cancellation of, or deferral of a programme of study. Last updated: 21 May 2026

1. Definitions
Withdrawal means the formal termination of a student's enrolment after a programme of study has commenced, whether initiated by the student or by C.I.C.
Cancellation means the termination of an enrolment before a programme of study has commenced.
Deferral means the postponement of a student's programme start date to a subsequent intake.
Intake Start Date means the first day of the programme as stated in the student's offer letter or enrolment agreement.
Enrolment Agreement means the contract between the student and C.I.C. signed upon acceptance of a programme offer.
2. Statutory Cooling-Off Period
In accordance with applicable Brazilian consumer protection law and international best practice, students have the right to cancel their enrolment within 14 calendar days of signing the Enrolment Agreement without penalty and with a full refund of any fees paid, provided the programme has not yet commenced.
This right must be exercised by submitting a written cancellation notice to compliance@cicbrazil.com within the 14-day cooling-off period. The date of the written notice is the cancellation date.
3. Cancellation Before Programme Commencement
After the statutory cooling-off period has expired and before the programme intake start date, the following cancellation terms apply:
- More than 60 days before the intake start date: Full refund of tuition fees paid, minus an administrative processing fee of USD 150. The application deposit of USD 65, where applicable, is non-refundable.
- 30 to 60 days before the intake start date: 50% refund of tuition fees paid. The application deposit is non-refundable.
- 15 to 29 days before the intake start date: 25% refund of tuition fees paid.
- Less than 15 days before the intake start date: No refund of tuition fees. The enrolment is forfeited. The student may apply to transfer to a future intake subject to a transfer fee of USD 200.
Accommodation fees are refundable in accordance with the separate accommodation booking terms, subject to a minimum 30-day written notice prior to the intended arrival date.
4. Deferral of Enrolment
Students wishing to defer their programme to a subsequent intake may request a deferral subject to the following conditions:
- A formal deferral request must be submitted in writing to compliance@cicbrazil.com at least 30 days before the original intake start date.
- A maximum of one deferral is permitted per student enrolment.
- Deferrals are subject to availability at the requested intake. C.I.C. cannot guarantee that a specific intake or programme will be available for all deferral requests.
- Tuition fees already paid will be transferred to the deferred intake at no additional charge, provided the deferral request meets the notice requirement above.
- Where a deferral request is made with less than 30 days notice, a deferral administration fee of USD 100 applies.
- If the student does not commence their studies at the deferred intake and does not submit a further cancellation request, their fees will be forfeited and the enrolment will be cancelled.
- Visa documentation issued for the original intake will need to be reissued for the deferred intake. Any costs associated with re-application to the Brazilian consulate are the student's responsibility.
5. Withdrawal During the Programme
Students wishing to withdraw from their programme after it has commenced must notify C.I.C. in writing by submitting a completed Withdrawal Request Form to compliance@cicbrazil.com. Verbal notification alone is not sufficient to initiate the withdrawal process.
The formal withdrawal date is recorded as the date the written withdrawal request is received by C.I.C. administration. All rights and obligations relating to refunds are calculated from this date.
5.1 Refund Entitlement on Withdrawal
- Withdrawal in Week 1 or Week 2 of the programme: 70% of the remaining unused tuition fees are refundable.
- Withdrawal in Week 3 or Week 4 of the programme: 50% of the remaining unused tuition fees are refundable.
- Withdrawal after Week 4: No refund of tuition fees for the current module, term or block. Any fees paid in advance for subsequent terms may be refundable at 50% subject to written application.
5.2 Visa Obligations on Withdrawal
Students who hold a VITEM IV Brazilian student visa and who withdraw from their programme must notify C.I.C. immediately. C.I.C. is legally required to inform the Polícia Federal of the withdrawal of any student who holds a student visa sponsored by C.I.C. Failure to notify C.I.C. of withdrawal may result in immigration consequences for the student.
Students are strongly advised to seek independent immigration advice before withdrawing from their programme if they are currently in Brazil on a student visa.
6. Withdrawal for Medical or Compassionate Reasons
Where a student needs to withdraw for serious medical reasons, a family bereavement or other exceptional personal circumstances, C.I.C. will consider applications for enhanced refunds or extended deferrals beyond those outlined above. Such requests must be submitted with supporting documentation (e.g. a medical certificate from a licensed medical practitioner) to compliance@cicbrazil.com. Each case will be assessed individually and at the discretion of the Director.
7. Cancellation of Enrolment by C.I.C.
C.I.C. reserves the right to cancel or terminate a student's enrolment in the following circumstances:
- Non-payment of tuition fees or accommodation fees after a written reminder and a 14-day grace period
- Provision of false, misleading or incomplete information on the application form or in supporting documents submitted to C.I.C.
- Serious or repeated breach of the C.I.C. Student Code of Conduct including but not limited to academic misconduct, harassment, violence or illegal activity
- Failure to obtain or maintain the required student visa status
- Failure to meet the minimum attendance requirement of 80% without an approved Leave of Absence
- A course or programme being discontinued by C.I.C. due to insufficient enrolments or changes in regulatory requirements
In all cases of enrolment cancellation by C.I.C., the student will be given a written notice of the reason and an opportunity to respond before a final decision is made. Where C.I.C. cancels an enrolment for reasons unrelated to student conduct (for example, a programme being discontinued), a full refund of all fees paid will be issued within 30 business days.
8. University Pathway Withdrawal
Students on a University Pathway programme who withdraw from their C.I.C. programme will forfeit their reserved pathway place. Reactivation of a pathway offer is not guaranteed and will be subject to availability and the receiving institution's current entry requirements at the time of reactivation.
C.I.C. is not liable for any loss suffered by a student as a result of their inability to progress to a partner university following withdrawal from a C.I.C. programme.
9. Force Majeure
In circumstances beyond the reasonable control of C.I.C. — including but not limited to natural disasters, epidemics or pandemics declared by a competent authority, acts of war, government-imposed travel restrictions or suspension of visa-issuing services — C.I.C. will offer affected students the option to defer their enrolment to the next available intake without penalty. Refund requests in force majeure circumstances will be assessed on a case-by-case basis by the Director.
10. Withdrawal Request Process
All withdrawal requests must be submitted in writing and include:
- Student full name and Student ID or application reference number
- Programme name and intake date
- Requested withdrawal date
- Reason for withdrawal
- Supporting documentation where applicable (medical certificate, visa refusal letter, etc.)
- Preferred refund method and bank account details

C.I.C. will acknowledge all withdrawal requests within 3 business days and provide a formal decision within 20 business days.
11. Appeals
Students who disagree with a withdrawal or cancellation decision made by C.I.C. may submit a formal written appeal to compliance@cicbrazil.com within 14 days of receiving the decision. The appeal will be reviewed by a senior member of C.I.C. management who was not involved in the original decision. A written outcome will be provided within 20 business days.
