Refund Policy

1. Tuition Fee Deposits

Crownhill International College (C.I.C.) requires a 50% tuition fee deposit upon acceptance of a student's application. This deposit secures the student's place on the programme and initiates the visa documentation process.

The deposit is non-refundable except in the circumstances set out in this policy.

2. Refund on Visa Refusal

C.I.C. is committed to supporting students whose visa applications are refused for reasons outside their control. The following applies:

If a student's VITEM IV student visa application is refused by the Brazilian authorities, the student is entitled to a full refund of tuition fees paid, minus an administrative processing fee of USD 150.
The refund applies only where the visa refusal is a first refusal and is not attributable to misrepresentation, incomplete documentation submitted by the student, or failure to attend a consulate appointment.
The student must submit a copy of the official visa refusal letter to refund@cicbrazil.com within 30 days of the refusal date.
Refunds are processed within 28 business days of receiving the required documentation.
Accommodation fees paid are refundable in full if cancelled with a minimum of 30 days notice prior to the intended arrival date.

3. Cancellation Before Course Start

More than 60 days before the intake start date: Full refund of tuition fees, minus the non-refundable application deposit of USD 65 (if applicable) and a USD 100 administrative fee.
30 to 60 days before the intake start date: 50% refund of fees paid.
Less than 30 days before the intake start date: No refund of tuition fees.
Accommodation deposits are refundable as per the accommodation booking terms.

4. Withdrawal During the Course

Students who withdraw from their programme after it has commenced may be eligible for a partial refund of unused tuition fees as follows:

Within the first 2 weeks of the programme: 70% refund of the remaining course fees.
Between weeks 3 and 4: 50% refund of the remaining course fees.
After week 4: No refund. Fees for the full module or term are forfeited.

Students must submit a formal withdrawal request in writing to refund@cicbrazil.com. The withdrawal date is recorded as the date the written request is received.

5. University Pathway Students

Students on the University Pathway programme who are refused entry to their intended destination university are entitled to continue their programme at C.I.C. or transfer to an alternative available pathway, subject to availability. No refund is issued on the basis of university rejection alone.

6. Force Majeure

In exceptional circumstances such as natural disasters, pandemics, government travel restrictions or other events beyond the reasonable control of either party, C.I.C. will offer affected students the option to defer their enrolment to the next available intake without penalty. Refunds in force majeure circumstances will be assessed case-by-case at the discretion of C.I.C. management.

7. Application Fee

Crownhill International College does not charge an application fee. Applications are free of charge. No fee is payable by students to apply to study at C.I.C.

8. Method of Refund

Approved refunds are issued via the same payment method used for the original payment, unless otherwise agreed in writing. C.I.C. does not issue refunds in cash. International transfer fees applicable to the refund are deducted from the refund amount.

9. How to Request a Refund

All refund requests must be submitted in writing to refund@cicbrazil.com with the following information:

Full name and Student ID or application reference
Reason for refund request
Supporting documentation (e.g. visa refusal letter, medical certificate)
Preferred refund method and bank details

C.I.C. will acknowledge all refund requests within 5 business days and provide a decision within 20 business days.
