Student Enrolment Contract

Fees and Payment
Payment Notice: Full tuition payment (100%) is required to secure your place and to trigger the issuance of your Carta de Aceite and visa support documents. Your place is not confirmed until full payment is received and verified by CIC Finance.
3Fees, Payments and Refund Policy

Please read this section carefully. You must accept this policy before proceeding.

3.1 Full Tuition Payment. Full tuition payment of 100% is required to secure your place at Crownhill International College Brazil. Full payment is required as this serves as financial proof of funds and a guarantee of enrolment, which significantly strengthens your VITEM IV student visa application to the Brazilian Embassy. CIC reserves the right to withdraw your place if full payment is not received by the due date stated in your offer letter. All fees are stated in USD. CIC accepts no liability for currency exchange losses incurred during international payment transfers.

3.2 Refund on Visa Refusal. Full tuition fees are refundable in the event of a VITEM IV student visa refusal by the Brazilian Embassy, subject to all of the following conditions being met: (a) the visa refusal is genuine and not connected to any fraud, misrepresentation, or deliberate omission of information by the student or their agent; (b) the official visa refusal letter and all supporting documentation are submitted to CIC at askcic@cicbrazil.com within 14 days of the refusal decision; and (c) CIC's admissions team has reviewed and verified the refusal documents to its satisfaction. Where fraud or misrepresentation by the student or their agent is identified as a contributing factor to the visa refusal, no refund shall be payable and the matter may be reported to the relevant authorities. Refunds will be processed within 30 working days of verified documentation.

3.3 No Refund After Enrolment. No refund of tuition fees is payable after the programme start date, in cases of voluntary withdrawal after enrolment, programme abandonment, disciplinary exclusion, or failure to attend. Accommodation fees are non-refundable once the student has taken up residence.

3.4 Deferral Policy. Students who wish to defer their start date to a future intake must submit a written deferral request to askcic@cicbrazil.com no later than 30 days before the programme start date. Deferral is subject to availability and CIC's approval. A deferral fee of USD 150 is payable. Tuition fees paid will be transferred to the new intake. Deferral may only be requested once. CIC reserves the right to refuse a deferral request.

3.5 Late Payment. Students who fail to pay any outstanding balance by the due date may have their access to classes, the student portal, and accommodation suspended until payment is received. CIC reserves the right to withdraw a student's place for non-payment without refund of any fees already paid.
4Visa, Immigration and Reporting Obligations

Please read this section carefully. Your legal immigration obligations are set out here.

4.1 Visa Support. CIC will issue your Carta de Aceite and full visa support document pack within 48 hours of confirmed full tuition payment. These documents are required for your VITEM IV Brazilian student visa application at the Brazilian Embassy or Consulate in your country of residence. CIC does not guarantee visa approval. Any delay, refusal, or condition imposed by Brazilian immigration authorities is outside CIC's control.

4.2 Student Responsibility. You are solely responsible for submitting your VITEM IV visa application correctly and on time, meeting all embassy requirements, and maintaining valid immigration status throughout your studies in Brazil. You must notify CIC immediately if your visa application is refused, if your visa expires, or if your immigration status changes for any reason.

4.3 Immigration Reporting. As a registered educational institution in Brazil, CIC is legally obligated under Brazilian immigration law to report the enrolment status of all international students to the Brazilian Federal Police (Polícia Federal) and relevant immigration authorities. CIC will report: students who fail to enrol after visa approval; students who abandon the programme or maintain attendance below the required threshold; and students who are withdrawn, suspended, or excluded for any reason. These reports are a legal requirement and not discretionary. Students understand and consent to this reporting obligation by signing this contract.

4.4 CRNM Registration. Upon arrival in Florianópolis, international students are required to register with the Polícia Federal to obtain their Carteira de Registro Nacional Migratório (CRNM). CIC will provide guidance on this process. The Polícia Federal office is located within Floripa Shopping, the same building as the CIC campus. Students must complete CRNM registration within the timeframe required by Brazilian law. Failure to do so may result in immigration penalties for which CIC accepts no liability.

4.5 Visa Conditions. Students must comply with all conditions of their VITEM IV student visa at all times. Undertaking unauthorised employment, studying at a different institution, or breaching any visa condition may result in visa cancellation, deportation, and a bar from re-entering Brazil. CIC will cooperate fully with Brazilian immigration authorities in any investigation.
5Attendance, Academic Standards and Code of Conduct

Your obligations as a student of Crownhill International College Brazil.

5.1 Attendance. Students are required to maintain a minimum attendance rate of 80% across all scheduled sessions. Attendance is recorded at every session. Students falling below 80% attendance will be issued a formal written warning. Students falling below 70% attendance may be placed on an attendance improvement plan. Students falling below 60% attendance may be reported to the Brazilian Federal Police and may have their enrolment suspended or terminated without refund.

5.2 Academic Standards. Students must achieve a minimum pass mark of 70% in all assessments to receive a CPD Certificate of Completion and to progress to the next level. Students who do not meet the pass mark will be offered one re-sit opportunity at no additional cost. Students who fail the re-sit will be required to repeat the module at a cost of USD 250 per module. CIC does not guarantee progression to a higher level or to a partner university.

5.3 Academic Integrity. CIC operates a zero-tolerance policy on plagiarism, contract cheating, fabrication of data, and all forms of academic fraud. Any student found to have submitted fraudulent academic work will be given a mark of zero for the relevant assessment, issued a formal warning, and may be permanently excluded. Serious cases of academic fraud will be reported to the relevant authorities. Students must submit all work in their own name and confirm it is their own original work.

5.4 Code of Conduct. All students are expected to conduct themselves professionally, respectfully, and honestly at all times on campus, online, and in any context associated with CIC. Behaviour that is threatening, abusive, discriminatory, disruptive, or contrary to CIC's values will result in disciplinary action up to and including permanent exclusion. CIC operates a zero-tolerance policy on harassment, bullying, racism, sexism, and any form of discrimination.

5.5 Disciplinary Procedure. Where a student is alleged to have breached the Code of Conduct or academic integrity standards, CIC will: (a) notify the student in writing of the allegation; (b) invite the student to respond within 5 working days; (c) conduct a fair and impartial investigation; (d) issue a decision and, where appropriate, a sanction. Sanctions range from a formal written warning to temporary suspension or permanent exclusion. The student has the right to appeal any sanction within 10 working days of the decision.

5.6 Social Media Policy. Students must not post content on social media that: brings CIC into disrepute; shares confidential student or staff information; makes false or misleading statements about CIC; or constitutes harassment of other students or staff. Breach of this policy may result in disciplinary action. Students are reminded that content posted online may be visible to immigration authorities and future employers.
6University Pathway and Work Abroad Programmes

Applicable to students intending to progress to a partner university or international work experience programme.

6.1 University Pathway — Guaranteed Offer. CIC's university pathway programme provides a guaranteed offer of progression to our partner universities in the UK, Canada, USA, Australia, and New Zealand, subject to the student successfully completing the CIC pathway programme at the required academic standard and attendance threshold. The guaranteed offer is a letter of progression from CIC to the partner university. The student is solely responsible for: (a) providing any additional documents required by the partner university or the destination country's embassy; (b) paying all visa application fees required by the embassy or immigration authority of the destination country; (c) paying all travel costs to the partner institution including flights, transfers, and associated expenses; and (d) meeting any financial means requirements set by the destination country's immigration authority. CIC's visa and progression support team will provide full guidance and documentation support. CIC accepts no liability for visa refusals, travel delays, or additional costs incurred in connection with progression to a partner university.

6.2 Work Abroad Programmes. CIC supports students who wish to participate in international work experience and cultural exchange programmes, including: the J-1 Exchange Visitor Programme (USA); the International Experience Canada (IEC) programme; the Subclass 407 Training Visa (Australia); the UK Graduate Route; and the IAESTE programme (Germany). Participation is subject to eligibility criteria set by the relevant government authority and is not guaranteed. The student is solely responsible for: (a) meeting all eligibility requirements; (b) paying all visa, application, and programme fees; (c) arranging and paying for all travel; (d) obtaining adequate travel and health insurance; and (e) complying with all immigration conditions in the destination country. CIC will provide a letter of support, transcript, and documentation within CIC's control. CIC makes no guarantee of approval for any work abroad visa or programme placement. All work abroad routes are subject to the immigration laws and T&Cs of the relevant destination country, and visa eligibility must be confirmed independently before making financial commitments.

6.3 Visa Fees and Travel Costs. CIC does not pay and is not responsible for any visa fees, embassy fees, biometric fees, health surcharges, travel costs, accommodation costs at the destination, or any other costs associated with university progression or work abroad activities. These are entirely the student's responsibility.
7Data Protection, Welfare, Complaints and General Terms

Your rights and CIC's obligations in relation to your data, wellbeing, and the general terms of this contract.

7.1 Data Protection (LGPD). CIC collects and processes your personal data in accordance with Brazil's Lei Geral de Proteção de Dados (LGPD, Lei 13.709/2018). Your data will be used for enrolment, visa processing, academic administration, statutory reporting, and student welfare purposes only. Data will not be shared with third parties except where required by Brazilian law, by immigration authorities, or with your explicit consent. You have the right to access, correct, and request deletion of your personal data by contacting askcic@cicbrazil.com.

7.2 Student Welfare and Safeguarding. CIC is committed to the safety, welfare, and wellbeing of all students. If you are experiencing difficulties — academic, personal, financial, or related to accommodation — please contact our welfare team at askcic@cicbrazil.com. CIC has a duty of care to all students and will act promptly on any welfare concern. CIC operates a safeguarding policy and all staff are trained to identify and respond to safeguarding concerns.

7.3 Complaints Procedure. If you are dissatisfied with any aspect of your experience at CIC, you have the right to raise a formal complaint. Complaints should be submitted in writing to askcic@cicbrazil.com. CIC will acknowledge your complaint within 2 working days and provide a written response within 10 working days. If you remain dissatisfied, you may escalate your complaint to the CPD Group or the relevant regulatory authority.

7.4 Intellectual Property. All course materials, assessments, resources, and content provided by CIC are the intellectual property of Crownhill International College Brazil and may not be reproduced, shared, sold, or distributed without CIC's prior written consent. Students retain ownership of their own original work submitted for assessment.

7.5 Accommodation. Accommodation arranged through or recommended by CIC is provided by third-party landlords and accommodation providers. CIC is not a party to the accommodation contract and accepts no liability for the condition, safety, or suitability of accommodation. Students are advised to inspect accommodation upon arrival and to report any concerns to CIC's student welfare team immediately. Accommodation fees are payable monthly in advance and are non-refundable once the student has taken up residence.

7.6 Force Majeure. CIC shall not be liable for any failure or delay in performing its obligations under this contract arising from circumstances beyond its reasonable control, including but not limited to: natural disasters, pandemics, war, civil unrest, government orders, or acts of God. In such circumstances, CIC will make all reasonable efforts to continue delivering the programme and will communicate with students promptly.

7.7 Amendments. CIC reserves the right to modify programme content, timetables, staff, and delivery methods where necessary. CIC will give students a minimum of 30 days' notice of any material change. In the unlikely event that CIC is required to cancel a programme after enrolment, CIC will offer an alternative programme or a full refund of all fees paid.

7.8 Governing Law. This contract is governed by the laws of the Federative Republic of Brazil. Any dispute arising from or in connection with this contract shall be subject to the exclusive jurisdiction of the courts of Florianópolis, Santa Catarina, Brazil.
8Declaration and Electronic Signature

By signing below you confirm that you have read the entire contract, that all information provided is accurate, and that you agree to be bound by all terms and conditions.

Declaration: I, the student named in this contract, confirm that: (1) I have read, understood, and accepted all sections of this Student Enrolment Contract with Crownhill International College Brazil; (2) all personal information I have provided is true, accurate, and complete; (3) I understand that providing false information may result in immediate termination of my enrolment without refund and may constitute a criminal offence; (4) I agree to comply with all policies, rules, and procedures of Crownhill International College Brazil for the duration of my enrolment; and (5) I acknowledge that my electronic signature below carries the same legal effect as a handwritten signature under applicable Brazilian law (Medida Provisória 2.200-2/2001) and under the laws of my country of residence.
