Terms, Conditions and Policies — Please Read in Full

1. Enrolment and Offer Conditions

This offer of enrolment is made by C.I.C. — Crownhill International College Brazil (CNPJ 29.395.178/0001-60) and is subject to the student satisfying all entry requirements, providing accurate documentation, and paying the required tuition deposit by the due date stated in this letter. CIC reserves the right to withdraw this offer at any time prior to confirmed enrolment if any information provided is found to be inaccurate, incomplete, or fraudulent.

2. Deposit and Tuition Fees

Full tuition payment of 100% is required to secure your place and to trigger the issuance of visa support documents. Full payment is required as this serves as financial proof of funds and a guarantee of enrolment, which significantly strengthens the student's VITEM IV visa application to the Brazilian Embassy. CIC reserves the right to withdraw your place if full payment is not received by the due date stated in this letter. All fees are stated in USD. CIC accepts no liability for currency exchange losses.

3. Refund Policy

Full tuition fees are refundable in the event of a VITEM IV student visa refusal by the Brazilian Embassy, provided that: (1) the visa refusal is genuine and not connected to any fraud, misrepresentation, or deliberate omission of information by the student or their agent; (2) the official visa refusal letter and all supporting documentation are submitted to CIC at askcic@cicbrazil.com within 14 days of the refusal decision; and (3) CIC's admissions team has reviewed and verified the refusal documents. Where fraud or misrepresentation is identified as a contributing factor to the visa refusal, no refund shall be payable and the matter may be referred to the relevant authorities. Refunds will be processed within 30 working days of verified refusal documentation. No refund is payable after the programme start date, in cases of abandonment, or where the student fails to attend. Accommodation fees are non-refundable once the student has taken up residence.

4. Visa Responsibility

CIC will issue the Carta de Aceite and all required visa support documents within 48 hours of confirmed deposit payment. The student is solely responsible for submitting their VITEM IV visa application to the relevant Brazilian Embassy or Consulate. CIC does not guarantee visa approval. Any delay, refusal, or condition imposed by Brazilian immigration authorities is outside CIC's control and does not entitle the student to a refund of the deposit.

5. Attendance Policy

Students are required to maintain a minimum attendance rate of 80% across all scheduled sessions. Attendance is monitored and recorded by CIC. Students falling below the required attendance threshold may be issued a formal warning, placed on an attendance improvement plan, or in serious cases, reported to the Brazilian Federal Police (Polícia Federal) as required by Brazilian immigration law. CIC is legally required to report students who abandon their studies or maintain insufficient attendance to the relevant immigration authority.

6. Immigration Reporting Obligations

As a registered educational institution in Brazil, CIC is legally obligated to report the enrolment status of all international students to the Brazilian Federal Police and relevant immigration authorities. If a student fails to enrol after visa approval, abandons the programme, or is withdrawn for any reason, CIC will notify the Polícia Federal within 30 days. Students are responsible for maintaining valid immigration status throughout their studies and must notify CIC immediately of any change in their visa or immigration status.

7. Code of Conduct

All students are expected to conduct themselves professionally and respectfully at all times on campus and in connection with CIC activities. Behaviour that is disruptive, discriminatory, threatening, or otherwise contrary to the CIC Code of Conduct may result in suspension or permanent exclusion. CIC operates a zero-tolerance policy towards plagiarism, academic fraud, harassment, and discrimination. Students found to have submitted fraudulent academic work will be reported to the relevant authorities and their enrolment terminated without refund.

8. Academic Progression

Students must achieve a minimum pass mark of 70% in all assessments to progress to the next level or to receive a CPD certificate of completion. Students who do not meet the pass mark will be offered one re-sit opportunity. Students who fail the re-sit will be required to repeat the module at their own cost. CIC does not guarantee progression to a higher level or to a partner university. University pathway progression is subject to the entry requirements of the receiving institution.

9. University Pathway

CIC's university pathway programme provides a guaranteed offer of progression to our partner universities in the UK, Canada, USA, Australia, and New Zealand, subject to the student meeting the academic and attendance requirements of the CIC pathway programme. The guaranteed offer is conditional on the student successfully completing the pathway at the required standard. The student is solely responsible for: (1) providing any additional documents required by the partner university or the relevant embassy for the purpose of obtaining a student visa to the destination country; (2) paying all visa application fees required by the embassy or immigration authority of the destination country; (3) paying all travel costs to the partner institution including flights, airport transfers, and any associated travel expenses; and (4) meeting any financial means requirements set by the destination country's immigration authority. CIC's visa and progression support team will provide full guidance and documentation support throughout the process. CIC accepts no liability for visa refusals, travel delays, or additional costs incurred in connection with progression to a partner university.

10. Accommodation

Accommodation arranged through or recommended by CIC is provided by third-party landlords and accommodation providers. CIC is not a party to the accommodation contract and accepts no liability for the condition, safety, or suitability of accommodation. Students are advised to inspect accommodation upon arrival and to report any concerns to CIC's student welfare team. Accommodation fees are payable monthly in advance and are non-refundable once the student has taken up residence.

11. Data Protection (LGPD)

CIC collects and processes student personal data in accordance with Brazil's Lei Geral de Proteção de Dados (LGPD, Lei 13.709/2018). Student data will be used for enrolment, visa processing, academic administration, and statutory reporting purposes only. Data will not be shared with third parties except where required by law or by Brazilian immigration authorities. Students have the right to access, correct, and request deletion of their personal data by contacting askcic@cicbrazil.com.

12. Amendments and Cancellations

CIC reserves the right to modify programme content, timetables, staff, and delivery methods where necessary. CIC will give students a minimum of 30 days' notice of any material change to the programme. In the unlikely event that CIC is required to cancel a programme after enrolment has been confirmed, CIC will offer an alternative programme or a full refund of all fees paid. CIC accepts no liability for travel or accommodation costs in the event of a programme cancellation.

13. Work Abroad and International Experience Programmes

CIC supports students who wish to participate in international work experience and cultural exchange programmes upon completion of or alongside their studies, including the J-1 Exchange Visitor Programme (USA), the International Experience Canada (IEC) programme, the Subclass 407 Training Visa (Australia), the UK Graduate Route, and the IAESTE programme (Germany). Participation in these programmes is subject to eligibility criteria set by the relevant government or sponsoring body of each country and is not guaranteed. The student is solely responsible for: (1) meeting all eligibility requirements of the programme applied for; (2) paying all visa, application, and programme fees required by the relevant authority; (3) arranging and paying for all travel to and from the destination country; (4) obtaining adequate travel and health insurance for the duration of the programme; and (5) complying with all immigration conditions and work restrictions applicable in the destination country. CIC will provide a letter of support, transcript, and any documentation within CIC's control to assist the student's application. CIC's visa support team will guide students through the application process. CIC makes no guarantee of approval for any work abroad visa or programme placement. CIC accepts no liability for visa refusals, programme cancellations, or any loss or expense incurred in connection with work abroad activities. All work abroad routes are subject to the immigration laws and T&Cs of the relevant destination country, and visa eligibility must be confirmed by the student independently before making travel or financial commitments.

14. Governing Law

This enrolment agreement is governed by the laws of the Federative Republic of Brazil. Any dispute arising from or in connection with the student's enrolment at CIC shall be subject to the jurisdiction of the courts of Florianópolis, Santa Catarina, Brazil.
